The Grok Bot Team Playbook

Grok Bot, from xAI, gives you AI teammates that run on their own cloud computer, sign in to your tools and keep working after you close your laptop. These are the five bots I would set up first, each with a job you can hand over today, plus the approval rules that keep them from doing anything you did not sign off on.

Inbox Manager: the inbox is triaged before you wake up

Start with a job that is daily and low-risk. In Grok Bot, create a Bot, name it Inbox Manager and paste the job brief below. When it asks for access to Gmail or Outlook, grant it. Then tell it: run this every weekday at 8am. It sorts the mail, drafts replies in your voice and leaves them waiting. Keep send behind your approval. My own email agent still drafts every reply and never sends on its own. A bad draft costs you nothing.

Lead Researcher: a scored pipeline every morning

Give it a Google Sheet of prospects and one sentence on who you sell to. The job: research each company overnight, score fit from 1 to 5, and draft a first-touch email for every 4 or 5. Bots run on a persistent cloud computer, so the work carries on while you sleep. In the morning you review scored rows and drafts instead of a blank sheet. Invoice Collector: show it once, then it runs every Friday

This is the skill feature. Ask the Bot to follow along, then do the task yourself one time: open the vendor portal, find the invoice, log it in your sheet. It saves that path as a skill. Test the skill once by hand, then say run this every Friday. It works on portals with no API because it uses the browser the way you do. When a site wants a login code or a payment, it hands control back to you.

Client Reporter: the bot that makes a solo operator look like a team

If you sell AI services, set this one up per client. Every Monday it pulls last week's numbers from the client's analytics and CRM, writes a one-page summary in your format and saves it to a shared folder for you to approve before it goes out. A named Bot keeps its memory, files and preferences, so the report gets closer to what the client wants every week. Give it your best past report as the template on day one.

Chief of Staff: stop being the router between your bots

Once three bots run on their own, add a Chief of Staff and put all of them in one group chat. Bots can message each other and pass a task along, so the Lead Researcher can hand a hot lead straight to the Inbox Manager. Ask the Chief of Staff for one morning brief: what finished overnight, what is waiting for my approval, what is stuck. Five minutes of approvals, then you are back on client work.
